Privacy Policy

This policy explains how Nature Therapy Hub collects, uses, stores, and protects personal data during Early Access/Beta testing.

Nature Therapy Hub is currently operating as an Early Access/Beta platform. These policies apply to all users of the platform during the beta testing period.

Who we are

Nature Therapy Hub provides software for outdoor therapy practice management at https://naturetherapyhq.co.uk. For privacy questions, contact support@naturetherapyhq.co.uk.

Data we collect

Nature Therapy Hub may collect and process user account details, therapist account and practice profile information, early access requests, feedback submissions, email communications, and operational records created inside the platform.

For the public Therapist Directory, Nature Therapy Hub may collect directory applications, directory profile information, public contact details, practice names, locations, website links, profile text, qualifications or membership information submitted by the applicant, and administrative review notes connected with listing decisions.

Therapist workspace data may include client data, client portal access details, appointments, session notes, consent forms, consent signatures, risk assessments, outdoor locations, routes, resources, safety check-ins, uploaded files, client reflections, and client form responses.

Therapist Directory information

Directory profile information may be publicly accessible through the Nature Therapy Hub website once a listing is approved. Public profile information may include the therapist's display name, practice name, location, therapy approaches, about text, qualifications or memberships supplied for the listing, website link, and contact email where provided.

Public website visitors can view directory listings without logging in. Nature Therapy Hub may use essential site functionality and consent-based analytics to understand public website usage, including directory page visits, in line with the Cookie Policy.

Therapists or applicants can request updates, removal, or deletion of directory listings by contacting support@naturetherapyhq.co.uk. Removal from public display may not always mean immediate deletion of related application or administrative records where retention is needed for operational, legal, dispute, security, or audit purposes.

How data is stored and protected

Data is stored using Supabase infrastructure. Access is restricted using authentication, role-based permissions, protected routes, and Row Level Security policies designed to limit users to records they are authorised to access. Nature Therapy Hub does not expose service role keys in the application.

Nature Therapy Hub is GDPR-conscious and continues to improve privacy and security controls as the beta progresses, including operational processes for data export, deletion, audit logging, and security review.

How data is used

Data is used to provide the platform, maintain secure access, support therapist practice workflows, operate the client portal, manage early access and feedback, review and display Therapist Directory listings, send operational emails, troubleshoot issues, improve the product, and protect the service from misuse.

Email communications

Nature Therapy Hub may send operational emails such as early access approval messages, client portal invite emails, and individual support or admin messages. Email delivery may use a configured email provider such as Resend.

Data subject rights

Depending on applicable law, data subjects may have rights including the right of access, right to rectification, right to erasure, right to data portability, and the right to object to or restrict certain processing. Requests can be sent to support@naturetherapyhq.co.uk.

Retention and deletion

Data is retained only as needed to provide and improve the beta platform, meet operational needs, and support lawful use of the service. Therapists can configure retention review preferences and mark client records for review inside the platform. These controls support review and record-keeping; they do not automatically delete or archive client data.

Therapists can request account deletion from their Settings page. A request notifies Nature Therapy Hub for manual review and does not automatically delete accounts or associated client records. Requests are reviewed with attention to retention, legal, safeguarding, and data protection requirements.

Directory application data and listing review records may be retained for as long as needed to manage the directory, respond to questions about listing decisions, handle concerns, prevent misuse, and meet operational or legal requirements. Approved directory profile information remains public until it is hidden, removed, replaced, or otherwise updated.
